Privacy notice
This notice explains what personal information Hapie AI (“Hapie”, “we”) collects through hapie.ai and in our dealings with you, why we collect it, and what you can do about it. It is written for prospective customers and partners, people who attend demos, candidates, and visitors to the site.
1. Who we are
Hapie AI operates hapie.ai and the Hapie delivery platform. We are the controller of the personal information described in this notice. Hapie AI was founded within NexGen Architects and shares operational staff with it; where NexGen Architects staff process information on our behalf, they do so under our instructions and this notice. For anything in this notice, write to hello@hapie.ai with “Privacy” in the subject line.

Request a demo or a scoped price
Reply, prepare and run the demo or discovery call, send the proposal you asked for, and follow up about it.
Upload a document
Prepare for your call and choose the matching demo scenario. Nothing else. Documents are not used for training or beyond your enquiry.
Apply to work with us
Consider you for current or future roles. Applications and CVs are retained for 12 months after last contact, or deleted sooner on request.
3. Documents you upload
We do not sell personal information. We do not buy marketing lists. We do not add you to a newsletter because you asked for a demo. We do not use information you give us, or documents you share, to train AI models, ours or anyone else’s.
4. Where it is processed
Our systems are hosted in Microsoft Azure in the United Kingdom. Access is limited to named people, encrypted, and logged.
5. Your rights and contact
Under UK data protection law you can ask us for a copy of your information, ask us to correct or delete it, object to our use of it, ask us to restrict it, and ask for it in a portable form. Where we rely on consent, you can withdraw it at any time. Email hello@hapie.ai with “Privacy” in the subject; we answer within one month.
5. Job applications
We use applications only to consider you for roles at Hapie. Applications are seen by the relevant hiring team and the people who run recruitment. We keep applications for 12 months after your last contact, or delete them sooner on request.
6. Platform customers
When your organisation becomes a Hapie customer, the platform processes delivery artefacts, connected systems and user accounts on your organisation’s behalf under the customer agreement and a data processing agreement. Customer data is never used to train models and remains in the deployment your organisation chose.
7. Who we share it with
We share information only with service providers acting on our instructions, shared NexGen Architects operational staff, professional advisers where necessary, authorities where required by law, or a buyer or investor under confidentiality if Hapie is sold, merged, or raises investment.
8. How long we keep it
Demo, pricing, partner enquiries and email correspondence are kept for 24 months after last contact. Uploaded documents are kept for 90 days, job applications for 12 months, and consent records for 12 months. We delete information sooner if required or requested.
9. Changes and contact
We may update this notice from time to time. The current version is always the one published here and the date at the top tells you when it last changed. Questions can be sent to hello@hapie.ai.
